Below are the crucial next steps to ensure you and your practitioner are fully prepared for your first visit.

At The Immune Confident Institute,We Do Things Differently.

We understand that seeking new avenues for care can bring a mix of hope and apprehension, especially if you've felt unheard or rushed in the past. To help you feel as prepared and supported as possible, Dr. Wada has created a short video to personally welcome you and walk you through what you can expect at your first visit.

This initial evaluation (approximately 50 minutes) is the beginning of a collaborative journey.

As you'll hear in the video, our aim isn't just to address symptoms, but to help you recognize the patterns, reclaim your body's wisdom, rebel against one-size-fits-all approaches, and rise towards lasting well-being.

To make our time together as focused and productive as possible, please follow the important steps below.

Step 1: Understand Your Standard New Patient Evaluation

Duration: Approximately 50 minutes with your dedicated care team led by Dr. Wada.

Focus: This visit is designed for individuals seeking a comprehensive understanding of concerns related to allergies, asthma, immune dysfunction, or stable autoimmune conditions.

Our Approach: We believe true healing often involves understanding a "perfect storm" of factors rather than a single root cause. This consultation allows us to begin identifying those interconnected elements.

Inclusions:

  • An unhurried, in-depth conversation to understand your immune health, current symptoms, and relevant medical history.

  • A collaborative discussion to plan for any necessary baseline lab testing.

  • An initial exploration of the Immune Confident approach, beginning to tailor a path that reflects your unique needs and values.

To ensure your practitioner has the foundational information to truly partner with you, please complete the following forms as soon as possible.

Completing these thoroughly and promptly (no later than 6:00 AM EST on the day of your visit) is a vital step that allows for a dedicated review of your submitted information beforehand.

Step 3: Preparing for Your Telehealth Visit

How to Share Your Medical Records

Our practitioners find it most effective to review prior medical reports and results together with you during your virtual visit. This collaborative approach allows for a focused discussion on the information most relevant to your story.

  • Digital Records: Please have any relevant digital records (lab results, imaging reports, previous consultation notes, etc.) accessible on your device during your appointment. Be prepared to use the screen share feature to show and discuss these items with your clinician.

  • Paper/Older Records: If you have older paper records you wish for us to see beforehand, please fax them to (740) 730-4175 or securely email them to [email protected] at least 2 business days prior to your appointment. Please include your full name and appointment date for easy identification.

Ensuring a Smooth Telehealth Experience

Your comfort and a seamless connection are very important to us. Please plan to join your telehealth visit from a quiet, private space where you can speak openly and have a stable internet connection.

Using a computer or tablet is often best, especially if you plan to screen share documents.

A Quick Guide to Joining Your Google Meet Visit

To make connecting as easy as possible, Dr. Kara has created this short video walkthrough of the Google Meet platform.

Key Steps for a Smooth Connection:

  • Join Early: A few minutes before your scheduled time, click the unique Google Meet link from your confirmation email or calendar invitation.

  • Allow Access: When prompted by your browser, please click "Allow" to give Google Meet permission to use your camera and microphone. This is necessary for us to see and hear each other.

  • In the Meeting: Take a moment to see the main controls at the bottom of your screen: the microphone (to mute/unmute), the camera (to turn video on/off), and the red phone (to leave the meeting).

  • Troubleshooting: If you have any trouble connecting, the best first step is to refresh your browser. We find that the Google Chrome browser often works best. As a backup, your confirmation email contains a phone number you can use to dial in for an audio-only connection.

Our Cancellation & Rescheduling Policy

We understand that life happens. To ensure we can serve all our patients effectively, we adhere to the following policies.

Rescheduling: We kindly ask for at least 48-72 hours’ notice if you need to reschedule. You can do this using the reschedule link in your confirmation email or by contacting our team.

Cancellations:

  • With 48+ hours notice: No charge.

  • With 24–48 hours notice: A $50 late change fee may apply.

  • With less than 24 hours notice or if you miss your appointment without notice: The full visit fee may apply.

We review situations involving illness, emergencies, or accessibility issues with compassion on a case-by-case basis. If you miss or cancel an appointment, our Patient Support Team will make one proactive attempt to help you reschedule.

What happens after my first evaluation? What are the next steps?

Your first visit is just the beginning of your journey with us.

Following your consultation, you automatically receive a complimentary 1-month of ICI Membership access. This initial support period includes direct access to our Patient Support Team via secure messaging for any questions that arise.

If labs were ordered, we will schedule a complimentary 25-minute follow-up visit with your practitioner within this period to review your results and finalize the next steps. At the end of this initial month, you and your practitioner will decide on the best path for your ongoing care.

How do I continue my care or become a member after the initial period?

During your lab review follow-up, your practitioner will recommend the best path forward, which may be one of our membership plans or as-needed follow-up visits.

This initial period is also an important opportunity for both you and our team to ensure our partnership is a mutual fit. We believe the best healing happens in a collaborative, respectful relationship.

If we all agree it's a great fit, you'll be invited to enroll in the recommended membership plan to continue your journey with us.

What if I have a question between now and my appointment?

We understand that questions can come up. Our Patient Support Team is here to help with any logistical or scheduling needs.

Will prescriptions be provided at my first visit?

This initial evaluation is focused on comprehensive assessment and diagnostic planning.

While medication adjustments may be discussed, ongoing prescriptions require ongoing care to ensure safe and effective management.

This is provided either through a membership plan or scheduled follow-up visits after your initial evaluation is complete.

What does a “care team led by Dr. Wada” mean?

A care team approach means that your health is supported by a dedicated group of professionals working together under the leadership and direction of Dr. Wada.

Our goal is to increase your access to high-quality, comprehensive care. As our practice grows, this team may include nurse practitioners and other specialists who collaborate on your care.

No matter which practitioner you see, you can be confident that your care plan is guided by Dr. Wada’s expertise and our practice’s shared commitment to your well-being.

Do I need a referral?

No, a referral is not required to book an evaluation. However, we do require you to have an established Primary Care Provider for your general medical care.

Does the Immune Confident Institute accept insurance?

We operate on a direct-care model, meaning we work directly for you, not insurance companies. We are an out-of-network provider.

Upon request, we can provide you with a superbill that you may be able to submit to your insurance for potential reimbursement, but we cannot guarantee this as plans vary.
